Privacy Policy
Effective September 24, 2026
This Privacy Policy applies to dispatchadas.com, the DispatchADAS platform, and the technician and shop portals, all operated by DispatchADAS, Inc.
1. Who we are
DispatchADAS, Inc. ("DispatchADAS", "we", "us") operates dispatchadas.com and the DispatchADAS software platform. DispatchADAS is software for ADAS calibration companies: it helps them schedule and dispatch calibration jobs, document their work, invoice their customers, and receive calibration requests from repair shops. We do not perform calibrations ourselves.
This policy explains what information we handle, why, who we share it with, and the choices you have.
2. Our role: platform provider vs. your calibration company
Calibration companies subscribe to DispatchADAS ("Subscribers"). A Subscriber adds its own staff, technicians, shop customers, vehicles, and jobs to the platform. For that information, the Subscriber decides what is collected and why, and we process it on the Subscriber's behalf and under its instructions. If you are a technician or a shop user of a Subscriber, your calibration company's own privacy practices also apply — contact them about how they use your information.
We decide how information is used for our own website, for Subscriber account and billing administration, and for the calibration-request (lead) service described below.
3. Information we collect
- Account information: name, email address, phone number, company or shop name, role, and password (stored hashed by our authentication provider).
- Job and vehicle information: VIN, year, make, model, damage and repair details, services performed, scan reports, photos and documents, notes, purchase-order numbers, and appointment details entered by Subscribers, technicians, and shop users.
- Billing information: subscription plan and payment status. Card and bank details are collected and stored by Stripe, not by us. Invoices a Subscriber issues to its shops may sync to the Subscriber's QuickBooks Online account.
- Technician location: see Technician location data.
- Calibration requests: when you submit a request on our website, we collect your name, shop name, email, phone, city and state, the vehicle, and the service you need.
- Support conversations: messages you send to support or to the in-app help assistant.
- Technical information: IP address, browser and device type, pages requested, and error diagnostics, collected in server logs and by our error-monitoring provider.
4. Technician location data
The technician app records a technician's device location when they start a job and every few minutes while that job is in progress and open in the app. It is not collected when no job is in progress.
- Consent: a technician must give explicit consent before any location is recorded; the technician app cannot be used without it. Consent can be withdrawn at any time from My Profile, which immediately stops collection and clears the technician's last-known position.
- Who sees it: administrators and managers of the technician's own calibration company. A shop whose job the technician is assigned to can ask the in-app help assistant how far away the technician is; it answers with an approximate distance, not a map position.
- Retention: location history is deleted automatically after 60 days.
- We do not sell location data or share it with advertisers.
5. How we use information
- To provide the platform: scheduling, dispatch, job records, documents, invoicing, and notifications.
- To route calibration requests to providers that serve the requester's area.
- To send transactional email such as invites, job updates, invoices, and password resets, and — where enabled — text-message job updates to the phone number on file.
- To bill Subscribers and administer accounts.
- To answer support requests, including through the in-app help assistant.
- To secure the platform, prevent abuse, and diagnose errors.
- To comply with legal, tax, and accounting obligations.
6. Calibration requests and lead sharing
If you request a calibration through our website, we share the details you submit with one or more calibration providers on our platform that serve your area, so they can contact you and quote or schedule the work. If the first provider does not accept the request, we may route it to another. Once shared, the provider handles your information under its own privacy practices.
We send you a confirmation email when we receive your request.
8. Service providers
We use these providers to run the platform:
- Supabase — database, file storage, and authentication (hosted in the United States).
- Vercel — application hosting and delivery.
- Resend — transactional email delivery.
- Twilio — text-message job notifications, when enabled.
- Stripe — subscription billing and payment processing.
- Intuit QuickBooks Online — invoice and payment sync, when a Subscriber connects it.
- Google Maps Platform — address lookup, geocoding, and maps.
- Anthropic — the AI model behind the in-app help assistant, which receives your question and the account data needed to answer it.
- Sentry — error monitoring and diagnostics.
- NHTSA vPIC — decoding a VIN into year, make, and model (only the VIN is sent).
10. Data retention
- Account, job, and invoice records are kept while the Subscriber's account is active and afterwards for as long as needed for legal, tax, and accounting purposes (generally up to 7 years), then deleted or anonymized.
- Technician location history is deleted after 60 days.
- Calibration requests are kept for as long as needed to route and follow up on them and for our records.
- Server logs and error diagnostics are kept for a limited period set by our providers.
11. Security
We use encryption in transit, access controls that separate each Subscriber's data, row-level security in our database, and restricted administrative access. No system is perfectly secure; if we learn of a breach affecting your information, we will notify you as required by law.
12. Your choices and rights
You can view and update much of your information in the app. You may also ask us to access, correct, delete, or provide a copy of your personal information by emailing admin@dispatchadas.com. Depending on where you live (for example California and other U.S. states with privacy laws), you may have additional rights, and you will not be treated differently for exercising them. We respond within 30 days or the period the law requires.
If your information was added by a calibration company you work for or buy from, we may refer your request to that company, since it controls that data.
13. Children
DispatchADAS is a business service and is not directed to children under 16. We do not knowingly collect their information.
14. Changes to this policy
We may update this policy. We will post the new version here with a new effective date and, for material changes, notify account holders by email or in the app before the change takes effect.
